This role plays a critical part in supporting executive leadership and driving efficiency in operations. The Executive Assistant will facilitate communication across departments, manage schedules, and assist with various administrative tasks. Accountabilities

  • Create and send statements or invoices, track payments, and record company expenses.
  • Gather data on trends and prepare reports for comparative analysis.
  • Store and organize documents and files efficiently.
  • Conduct data entry, including preparing lead lists and meeting minutes.
  • Research products and manage procurement processes.
  • Maintain information for marketing and sales campaigns through a CRM.
  • Monitor projects and facilitate internal communications.
  • Coordinate team calendars and ensure meeting preparedness.
  • Prepare travel itineraries and logistics.
  • Manage incoming calls and email correspondence.
  • Synthesize data into cohesive reports and presentations.
  • Perform ad hoc tasks as needed.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant to C-level executives.
  • Bachelor's degree or certificate course (required).
  • Excellent communication skills, both written and verbal (at least B2 level).
  • Strong organizational and time management skills.
  • Tech savvy and familiar with modern tools and software.
  • Proficient in word-processing and spreadsheet software (e.g., MS Office).
  • Knowledge of online calendars and scheduling.
  • Proactive attitude and willingness to learn.
